Procurement FAQ

Evaluation and procurement FAQ

Questions that come up often during vendor evaluation, grouped into deployment, integration, pricing, data security, migration and rollout, and AI. Answers reflect public information from Zico, built by Beijing FIM Network Technology Co., Ltd.; final scope follows your demo and quote.

Deployment

Which deployment options does Zico offer, and how do they differ?

The Zico contract system ships as a private deployment on your own servers, so your organization controls the data. Zico AI can be used in the FIM-hosted environment (opened by our team after you apply) or deployed into your environment with the contract system.

What server specs does private deployment need?

Specs depend on scale, from a standard configuration (8 cores, 16 GB × 2 servers) to an enterprise configuration (32 cores, 64 GB × 5 servers or more). Contact sales for a recommendation based on your user count and use cases.

How do Private Standard and Private Advanced differ?

Private Standard covers draft-to-archive contract workflow modules, unlimited seats, deep collaboration-platform integration, full system integration, and free first-year support; Zico AI is billed separately and can be added. Private Advanced adds optional private LLM deployment (rolling out; see the Zico AI page for status) and custom development support.

Integration

Which collaboration platforms are supported?

Feishu (single sign-on, org-chart sync, messages, approvals, calendar, and todos) and internal OA systems already run in customer production. DingTalk, WeCom, Weaver, Seeyon, Landray, and others are connected on request, with scope and timeline set when requirements are confirmed.

Can Zico connect to existing ERP, CRM, OA, and finance systems?

Yes. Zico provides an open API and supports iframe embedding to connect ERP, CRM, OA, finance, and other existing systems, and supports Webhook event notifications that push contract events to external systems. Private editions also support deeper custom integration, with custom development billed per person-day.

How do e-signature and seal management connect?

The signing module connects to e签宝 and 章管家, covering electronic seal management, seal requests and approvals, and signing progress tracking. E-signature is a value-added service billed per signature.

Pricing

How is Zico AI priced?

By annual plan: Silver ¥36,000, Gold ¥60,000, and Platinum ¥96,000, with yearly allowances of 100,000, 200,000, and 400,000 credits, topped up at ¥1 = 10 credits when used up. Review is 10 credits per page and quick review 1 credit per contract; other rates are on the Plans page. A 2,000-credit, 30-day trial is available on application and opened by our team.

How is private deployment priced?

Quoted per project by company size, integration scope, and migration volume. Private plans are a one-time fee with unlimited seats and free first-year support.

Is AI billed separately?

Yes. The contract system and Zico AI are priced separately: the private contract system is quoted per project, and Zico AI is billed through an annual plan. You can buy it with the contract system or connect it alone to an existing system.

What is billed separately?

These value-added services are optional: e-signature (e签宝 / 章管家) per signature, OCR per page, business verification per query, custom development per person-day, and AI capability customization with pricing from sales.

Data security

Where is contract data stored?

With private deployment, the system and data are installed on your own servers and stay in your environment under your control. When you use Zico AI in the FIM-hosted environment, uploaded documents are stored on FIM servers.

Can contract content stay inside our network when using AI?

With private deployment, the system and contract data are stored in your environment. OCR, ASR, and Zev quick review run inside your environment if you have GPUs, and on FIM compute otherwise, never on third-party model services; if every AI capability must run inside your network, Private Advanced offers optional private LLM deployment (rolling out). Where each AI capability runs and where the data boundary sits are confirmed in writing for your network setup before deployment.

How are permissions and audit handled?

Zico provides role management and permission settings, with data permissions scoped by organization and contract type. Key operations are logged and can be traced and exported. Contract sharing supports an expiry date and password protection, and printed copies include an anti-counterfeit watermark and QR code.

Migration and rollout

How do we import our org chart, counterparties, and existing contracts?

The org chart syncs from your collaboration platform, and base data can be bulk-imported from Excel through the general import feature. For existing contracts, extraction pulls parties, amounts, terms, payment milestones, and other fields into the ledger in batches. Each extracted field carries a confidence score; low-confidence fields are flagged for human review and link back to the source text. Text extraction from scans is available as an optional OCR value-added service, billed per page.

Do employees need separate accounts?

No separate accounts are needed. Zico connects single sign-on and the org chart with your chosen collaboration platform, so employees can sign in by scanning a QR code. Approval tasks and risk alerts are pushed to the platform, and tasks can also be handled on mobile.

What support is provided after go-live?

Support covers 24×7 technical support, system upgrades, issue response, and periodic health checks. Private plans include the first year free.

AI capabilities

What can Zico AI do today?

Seven core capabilities are available: contract review, quick review, version compare, contract translation, information extraction, contract summary, and meeting minutes. Findings can be anchored back to the source text and exported as Word or PDF. Existing systems connect through the open API or iframe. Teams that need draft-to-archive deploy with Zico Contract System.

Can AI review results be used directly?

AI review speeds up the work, and people confirm the key conclusions. After upload, the system scans parties, payment and default, jurisdiction and disputes, confidentiality and IP, and other clauses, grades each risk and anchors it to the original text, and produces a structured risk list and exportable review opinions (a new file with comments or tracked changes is coming soon). Review checklists can follow industry rules or your internal policies, and review results are traceable.

Which models run in a private environment? Can we train on our own data?

Private Advanced offers optional private LLM deployment (rolling out; see the Zico AI page for status). How AI capabilities are deployed and where the data boundary sits are confirmed in writing before deployment; for AI capabilities tailored to your scenarios, contact sales for pricing.
